An idea. A connection.

Create a QR code for a calendar event

The Event type puts iCalendar data in the QR code. A compatible scanner can pass them to a calendar app, where the person chooses whether to save the event. The code is not a ticket, attendee list or automatic registration.

Event

iCalendar · 18:00–19:00

Example event on 20 October 2026, 18:00–19:00. Test with a scanner that supports calendar data.

A local workshop invitation has a code for adding the event beside its printed date. The venue address and starting time are also shown as readable text.

Check the event details

Keep the title, location and description concise so the code does not become unnecessarily dense. Verify the start, end and imported calendar entry. For all-day events, the iCalendar end date is exclusive: a one-day event ends on the following date.

The current QRinio form has no time-zone selector. Times are saved without a fixed time zone and may be treated as local time by the receiving calendar. For international events, use an event website with an explicit time zone as your starting point.

Compatibility and later changes

Not every camera recognises embedded calendar data. Test the devices your guests will use. If the data only appear as text, use a website code leading to an event page with a calendar download.

A static QR image and an imported calendar entry do not update automatically. If the date or venue changes, inform attendees separately. A dynamic link can point to current information but still does not edit events already saved in calendars.

How it works

  1. 01

Choose Event and enter a title, start, optional end, location and short description.

  2. 02

Import a test scan on real devices and check its date, time, duration and location in the calendar.

  3. 03

Also print essential details as readable text and offer an event website where appropriate.

What to keep in mind

Calendar import is a convenience. Booking, confirmations, admission checks and notifications of changes require suitable separate processes.

Frequently asked questions

Does editing update events already saved?
No. The imported calendar entry is a separate copy. Updating the QR content does not distribute calendar updates automatically.
Do guests need a particular calendar app?
Support depends on the scanner and device. Test their combination beforehand and provide a website alternative when direct calendar data are unsupported.
